How Niklar Property handles information during the pilot
Niklar Property is still in pilot. We collect only information needed to operate the journey, recovery, support, and Partner Pilot features that you choose to use. We do not ask Partner Pilot applicants to upload an identity document on the public application form.
Personal information controller
Niklar Property operates this pilot and controls the collection and use described in this notice. Privacy questions and data-rights requests can be sent to info@niklarproperty.com.
What we may collect
- Information you enter into a property-planning journey, including answers needed to generate the roadmap.
- A Journey Case Number and bounded saved-journey record when you choose to save a journey.
- Your email address only when you choose an email-related feature that is active.
- For Partner Pilot applications: role, real name, organization name when provided, Facebook page/profile link, contact number, email, the type of identity proof you can provide, application consent, and optional work notes.
- Security and operational information needed to prevent abuse, diagnose failures, and keep the service reliable.
Purposes and basis of processing
We process information to provide the feature you requested, generate or recover your journey, review a Partner Pilot application, contact an applicant, verify eligibility before onboarding, prevent abuse, support users, maintain service security, and keep the bounded operational records needed for the pilot.
Partner Pilot application processing is initiated only after you affirm the pilot notice and consent to the application processing described on the form and here. Other processing may be necessary to provide a service you requested, comply with applicable law, or protect the legitimate security and operational interests of the service, as applicable to the specific activity.
How processing works
Property-planning inputs are processed by Niklar's deterministic guidance system to produce planning information. Niklar does not use the Partner Pilot form to make an automatic acceptance decision: applications remain subject to human review and identity verification. The pilot does not use the public guide or partner form as the sole basis for a legal, government, employment, or licensing decision.
Who may receive the information
Access is limited to authorized Niklar operators and service providers needed to operate the requested feature. Depending on the feature and activation state, recipient classes may include Google Cloud hosting, the private Niklar Property pilot ledger on Google Workspace, and an approved transactional-email provider. Information may also be disclosed where required by applicable law or a lawful government or court process.
Niklar does not sell user conversations or application data to advertisers. Journey information is also not sold to advertisers. Service providers described above are used only as needed to operate the applicable Niklar feature.
Private recovery credentials
Your private Journey QR or recovery key is a bearer recovery credential. The public entry page does not display it in a URL, and the server stores a one-way hash rather than the raw recovery key. Keep the QR or recovery details private. A Journey Case Number alone is not an access credential.
Identity verification for partners
The public Partner Pilot form asks which identity document you can provide, but it does not accept an ID-file upload. If your application reaches verification, Niklar will contact you through a verified follow-up process. Do not send an ID image to an unrequested public or social-media channel.
Retention and disposal
Saved-journey, support, security, and application records are retained only for the declared feature, recovery, review, security, legitimate operational recordkeeping, or applicable legal obligations, and are not retained indefinitely for an unspecified future use.
Partner Pilot application retention: Public Partner Pilot collection is not activated until a retention period is configured.
When information is no longer required under the applicable retention rule, it should be securely deleted, anonymized, or otherwise disposed of so it cannot be retrieved by unauthorized persons. Niklar will not claim an automatic deletion period unless that deletion is actually enforced. Until a specific retention or deletion schedule is operationally implemented, Niklar will describe the applicable retention rule without implying that deletion happens automatically.
Your data-subject rights
Subject to the Data Privacy Act and applicable exceptions, you may exercise rights including the right to be informed, access personal data we process about you, object to processing, correct inaccurate data, request erasure or blocking, request data portability where applicable, seek damages where provided by law, and file a complaint with the National Privacy Commission.

Philippine privacy principles
Our pilot design follows the Data Privacy Act principles of transparency, legitimate purpose, proportionality, data minimization, security, and retention only for as long as the declared purpose or another lawful basis requires.
Changes
Because this is a pilot, the product and this notice may change. Material changes to how personal data is collected or used should be reflected here before the changed processing is activated.
